Portal Access & Communication

  • Tenant PortalPortal Access & Communication

Is the tenant portal a mobile app?

No — the tenant portal is a web application with a mobile interface rather than something downloaded from an app store. Tenants reach it through a browser on an Android phone, an iPhone, a tablet or a desktop, which means there is nothing for them to install and nothing for you to push them to update. This is one of the most common questions we get about the portal.

Can I choose which tenants get portal access?

Yes — access is strictly invite-only, and you decide which entities, which buildings, or which individual tenants are invited. That lets you roll the portal out to one building first, or hold back a property that is mid-transition, rather than switching on a portfolio at once. Invitations can go out one at a time or in bulk based on entity, building or other criteria you set.

Can I send an important notice to all my tenants and prove it was delivered?

Yes — bulk communication in Kompas sends information to tenants whether or not they use the portal, and proof of delivery, email confirmations and failed deliveries are all tracked. For an inspection notice, a planned outage or anything that could be disputed later, that tracked record is the point. It is delivery evidence rather than a read receipt, and it lives against the tenant record instead of in one person's sent folder.

Is the tenant portal available in French and English?

Yes — the portal is natively bilingual in French and English, and so is every notification it sends. Tenants see the interface and their documents in their own language without you maintaining two versions of anything. Combined with bilingual invoices and TAL leases in either language, that covers the practical requirement for operating in Quebec.

How are tenants notified when something happens on their account?

All tenant portal notifications go out by email to the users of the portal, and they are sent bilingually. That covers ticket updates, payment activity and the communications you send, so a tenant does not have to log in to discover that something changed. Email is the notification channel today; there is no push notification, because the portal is a web application rather than an installed app.

Do I have to invite tenants one at a time?

No — portal invitations can be sent in bulk based on entity, building, or other criteria you set, so onboarding a building is one action rather than a hundred. You can still invite individuals when a new tenant moves in. Because access is invite-only, bulk invitation is also how you control the pace of a rollout across a large portfolio.

Is there a chat function between tenants and my team?

Not yet — an internal chat function inside the portal is under development and will launch shortly. Today, tenant communication runs through service ticket comments, email notifications and bulk communication with delivery tracking. If keeping conversations out of personal WhatsApp threads is the goal, ticket comments are the closest thing available in the meantime.

Can I put my own branding on the tenant portal?

Yes — you can upload your own company logo to appear on the tenant portal, so tenants see the brand they rent from rather than wondering what Kompas is. For management companies operating under their own name across several owner entities, that is what makes the portal feel like part of the service rather than a third-party tool tenants were pointed at.

On a lease with roommates, does each person get their own login?

Yes — on a multi-tenant or shared lease, each tenant gets their own login to the portal rather than sharing one set of credentials. Each of them can see the lease and the financial history for that tenancy and can submit service tickets under their own name. It also means a roommate moving out does not require handing over an account.

Do tenants have to use the portal for me to communicate with them?

No — bulk communication reaches tenants whether or not they use the portal, with delivery confirmations and failed deliveries tracked either way. Portal access is invite-only and entirely your decision, so a building where adoption is low is still fully reachable. The difference the portal makes is on the tenant's side: self-serve payments, ticket submission and document access.
