Renewal Delivery & Tracking

  • LeasingRenewal Delivery & Tracking

Does the system tell me when it's time to send a renewal?

Yes — Kompas knows the compliance requirements across every Canadian jurisdiction and surfaces both the earliest delivery date and the delivery deadline for each renewal in the leasing dashboard. You are working from the dates the law gives you rather than from a spreadsheet someone maintains, which matters most for operators running units in more than one province where the rules differ. Renewals you have not yet acted on stay visible against those dates.

How do I set rent increases across my portfolio?

You can apply increases in bulk across your whole portfolio or any segment of it, by percentage or by dollar amount, rather than opening leases one at a time. The renewals dashboard then carries each one through delivery, negotiation and execution. An integrated TAL rent increase calculation driven by your actual accounting data is scheduled for early 2027; until then the calculation itself happens outside the platform and the increase is entered here.

Can I generate renewal documents in Kompas?

Yes — renewal documents generate with the tenant details, unit details, previous rent and the proposed increased rent already populated, so nobody is retyping figures from last year's lease. From the renewals dashboard you can produce them across a segment of the portfolio rather than one at a time. What you cannot yet do is email them from the platform with read-receipt tracking, which is coming soon.

Can I email renewals to tenants directly from the platform?

Not yet — you cannot send renewals digitally from Kompas with read-receipt tracking today, and it is a feature that is coming soon. Renewal documents generate in the platform and you deliver them through whatever method your jurisdiction requires, then record the delivery in the renewals dashboard so the audit history and your notice deadlines stay accurate. The tracking of what was delivered and when is there; the sending is not.

How do I manage all the administration a renewal cycle involves?

The renewals dashboard tracks every renewal in your portfolio through each step of the chain — those needing increase confirmations, those needing proof of delivery, those pending, and those fully executed. Rather than a spreadsheet per building, you see the whole portfolio in one place with its state and its deadlines. Negotiation status, accepted terms, notices to vacate and matters headed to a rental board all live on the same record.

Can I record negotiation details with a tenant on a renewal?

Yes — every renewal in Kompas can be set to negotiation, accepted terms, moving out, or a legal status for matters going to a rental board or mediation. That status is what the dashboard filters on, so a portfolio manager can see at a glance which renewals are still being talked about and which are settled. The detail sits on the renewal record rather than in an email thread only one person can find.

What happens if a rent increase ends up in front of the rental board?

Kompas supports that workflow inside the renewals dashboard: you move the renewal to legal status, which holds the in-place rent until the matter is resolved. When you record the result of the mediation or hearing, the system updates the rent accordingly and charges any backdated rent owed. That means a fixation of rent decision months later does not turn into a manual recalculation of every month since the increase date.

If a tenant accepts a renewal, do I have to update the lease manually?

No — the renewals process is integrated with the rest of the platform, so an accepted renewal updates the lease term automatically, and the new rent flows through to invoicing. If a tenant declines and moves out instead, your upcoming vacancy updates in the same step. The renewal is not a document you produce and then separately transcribe into the lease and the accounting records.

  • LeasingRenewal Delivery & Tracking

Can I change things other than rent when a lease renews?

Yes — the renewals dashboard lets you modify parking and lockers as well as other services attached to the lease, not only the rent figure. A tenant giving up a parking space or adding a storage locker at renewal is handled in the same document and flows through to invoicing with the correct GL coding. You are not issuing a rent increase and then amending the lease separately for everything else.

  • LeasingRenewal Delivery & Tracking

Can I see how long it has been since I sent a renewal?

Yes — each renewal carries a full audit history of its lifecycle: when it was created, when it was delivered to the tenant, and how long it has been since that delivery. Read against the jurisdiction's deadlines, that tells you where your obligations stand as a landlord on any given file. It is the record you want to have if a delivery date is ever disputed.

  • LeasingRenewal Delivery & Tracking

Can I see a rent roll of who is in place and at what rent?

Yes — the rent roll is one of the standard reports in Kompas, alongside vacancy reports, AR listings and the core financial statements. Because leases, renewals and rentable items all post to the same records, the rent roll reflects executed leases in real time rather than the last time someone updated a workbook. It exports to PDF or Excel with the fields, groupings and column order you choose.

How do rent increases and renewals differ across provinces?

Kompas holds the compliance requirements for every Canadian jurisdiction and applies them per lease, surfacing the earliest delivery date and the delivery deadline that apply to that unit's province. An operator with buildings in Quebec, Ontario and Alberta is not tracking three sets of rules in three spreadsheets. Quebec-specific handling goes further, with official TAL leases today and integrated TAL increase calculation from your accounting data scheduled for early 2027.
